Flight & Expense Policy

Your return-flight ticket fare should not exceed the maximum limit in the table provided.

In line with the global communication on managing our costs, certain low-cost airlines for each location need to be used for travel to the event, any exceptions must be approved.

1. Low Cost airlines must be used – any exceptions must be approved by manager
2. Flights should be booked well in advance
3. Your accommodation and breakfast will be covered for:
   • SU Heads and RBC Leaders – 3 nights’ accommodation – Check in: Monday 17 February and Check out: Thursday 20 February.
   • CT Heads and NI Sales – 2 nights’ accommodation – Check in: Tuesday 18 February and Check out: Thursday 20 February. If additional nights are required due to flight arrival/departure, approval from a manager is needed. Please select additional dates during the registration process. Any extension for personal stay’s will need to be paid direct to the hotel with a personal credit card
4. Transfer to and from the Hotel will be via supplied shuttle service provided you are travelling on the main conference days and have provided your flight information.

This is a blanket approval and you can skip the step of obtaining an approval from your SU CFO Head.

You only need to get an approval from your SU CFO Head if you exceed the maximum limit provided.

Visas

All visitors must hold a passport valid for at least 6 months.

An e-Visa is valid for a maximum of 90 days and must be applied for before arrival in Vietnam. e-Visa fee is 25USD for single entry.

Apply and Pay for your e-Visa at the government website https://evisa.gov.vn/

Apply for a Tourist visa, a business visa is not required for this event.

Some nationalities are not required to attain an e-visa. More information here.

You can apply up to 1 year before arrival.

Using eSIM

(Mobile roaming)

Nokia has now approved the use of two eSIM apps.  So, to stay connected while travelling. If your mobile phone is eSIM compatible, then you can follow the instructions to set up a roaming eSIM for Asia (or Vietnam), to concur and keep your roaming costs down.  Select Mobile Roaming Services Information. Since the hotel has free WiFi for the conference, a 1Gb package should be sufficient.
